An Ghearmáin – Event services – Event Management Services in the framework of the EIT Higher Education Institutions Initiative

The European Commission is seeking to conclude a contract for Event Management Services in the framework of the EIT Higher Education Initiative. The contract will cover the provision of services for the planning, coordination, and execution of events, including but not limited to, conferences, workshops, seminars, and other related activities. The services will be provided in various locations across the EU, with a particular focus on events that promote and support the objectives of the EIT Higher Education Initiative.

The contract will have a duration of 24 months, with the possibility of extension for an additional 12 months. The estimated value of the contract is EUR 500,000 to EUR 1,000,000.

The services to be provided include:

- Event planning and coordination, including venue selection, logistics, and catering

- Event promotion and marketing, including the development and distribution of promotional materials

- On-site event management, including registration, technical support, and attendee support

- Post-event evaluation and reporting, including the preparation of detailed reports on event outcomes and attendee feedback

The European Commission is seeking proposals from qualified and experienced event management service providers. Proposals should include a detailed description of the services to be provided, a breakdown of costs, and a timeline for the delivery of services. The deadline for the submission of proposals is 15 February 2024.

The European Commission reserves the right to reject any or all proposals received, and to negotiate with any or all proposers. The European Commission will not be responsible for any costs incurred by proposers in the preparation and submission of proposals.

The contract will be awarded to the service provider that offers the best value for money, taking into account the quality of the services to be provided, the proposed costs, and the experience and qualifications of the service provider.

The European Commission will evaluate proposals based on the following criteria:

- Relevance and quality of the proposed services (40%)

- Proposed costs (30%)

- Experience and qualifications of the service provider (20%)

- Proposed timeline for the delivery of services (10%)

The European Commission will notify all proposers of the outcome of the evaluation process within 30 days of the deadline for the submission of proposals. The contract will be awarded to the successful service provider within 60 days of the deadline for the submission of proposals.

The European Commission will publish the results of the contract award on the TED eTendering platform (https://etendering.ted.europa.eu) within 30 days of the award of the contract.
