Description
The contract concerns a competitive procedure with negotiation for the conclusion of a framework agreement for the supply, installation, configuration and maintenance of patient check-in kiosks, including accessories. UZ Gent wishes to purchase check-in kiosks for the various reception points of the hospital. All patients must check in via these kiosks, whether for a scheduled admission, a consultation, an examination or a treatment. The kiosks must provide patients with a self-service function to confirm arrival at the hospital or to refer to reception staff. Up to 4,000 unique patients check in daily via the available kiosks spread across the campus. There is a peak flow in the morning of up to 500 registrations per hour, distributed across the various reception points on the campus where 1 or more kiosks are available, depending on patient flow. In the central entrance building, 8 kiosks are centrally located. The remaining decentralised kiosks are located in the various buildings on the campus. This infrastructure aims to improve patient service by, on the one hand, shortening the processing time when additional data registration is not required, and providing patients with a personalised check-in experience, or, on the other hand, referring the patient to a staff member for personal contact, with the issuance of a queue number. The contract includes:
• Delivery of 20 check-in kiosks, including the replacement of 15 existing kiosks;
• The kiosks must have an integrated eID reader, barcode scanner, ticket printer and a large touchscreen;
• Installation and configuration at various locations within the hospital;
• Integration with existing software such as xKiosk from the firm Zorgi and the eSirius queue management system from the firm ESII;
• A maintenance contract for the entire lifespan of the kiosks, including updates and interventions;
• Availability of spare parts for 10 years (e.g. eID card readers, barcode scanners, printers, screens, ...);
• Delivery of ticket rolls for ticket printers;
• Training of staff for use and support. The minimum requirements and added values will be included in the specific tender document, which will only be provided to the selected candidates in the next phase of the award procedure.
