The University of Amsterdam (UvA) and the Amsterdam University of Applied Sciences (HvA) intend to jointly procure a new Document Management System (DMS) to replace the current DMS. The aim of the tender is to contract a future-proof, secure and user-friendly DMS solution that supports the UvA and HvA in the sustainable management, accessibility and archiving of digital documents and files. The assignment includes, among other things, the delivery of the DMS solution, implementation and configuration, migration of existing documents, metadata and files, integrations with the existing IT environment, training and knowledge transfer, management, maintenance, support and further development. The offered solution must connect to the existing information provision of the UvA and HvA and, among other things, provide support for document and file management, metadata, workflows, authorization, retention periods, archiving, destruction, search, audit trail and integrations with the existing Microsoft 365 environment. In the evaluation, in addition to the quality of the offered solution and service, the implementation and migration approach, future-proofing, security and compliance, and user experience, adoption and self-reliance will be considered. The price is also part of the evaluation. As part of the award procedure, mandatory demonstrations will be organized in which the tenderers demonstrate the offered solution using various practical situations. The assignment will be awarded to the tenderer with the most economically advantageous tender based on the best price-quality ratio (BPKV).
