With the present tender, the Technical University of Denmark (DTU) aims to supplement the existing SKI agreement concerning conferences, seminars and meetings. The objective is to ensure full coverage of the university's needs within the category and to achieve full compliance (100% compliance) with applicable procurement frameworks and expenditure. It is noted that suppliers already covered by the SKI agreement are not invited to submit tenders in connection with this tender. These suppliers will automatically be included in DTU’s consolidated portfolio and will be able to bid on events via the Meeting Manager system. The consolidated portfolio of SKI agreements and agreements in the present tender is expected to commence on 1 April 2026. All reservations, inquiries and bookings – regardless of whether these are initiated under SKI or DTU management – must be handled through Meeting Manager. In the event of inquiries outside the system, the supplier is obligated to submit a tender via Meeting Manager, so that all transactions are registered and documented in accordance with DTU’s internal procedures. DTU’s total annual expenditure on external meetings and conferences in Denmark is expected to exceed 20 million DKK excl. VAT, based on historical turnover figures for 2024 and 2025. This estimate is not binding and may vary during the contract period. The maximum turnover under the agreement is set at 20% above the expected expenditure, reflecting uncertainty regarding future price levels and needs.
