Description

The service includes digitalisation of daily mail and files, data protection-compliant destruction, and the associated logistics of paper-based documents. With 15 departments and 7 municipal enterprises, the contracting authority manages a large volume of paper-based documents through its department-specific file registries and mailrooms. This includes extensive stock files as well as the daily incoming mail (daily mail) from citizens and companies. The subject of the services is, in particular: • the BSI TR-RESISCAN-compliant digitalisation of documents, especially stock files and daily mail, but also incoming invoices, • the data protection-compliant destruction (ISO/IEC 21964) of parts of the paper-based documents after digitalisation and release by the contracting authority, • the associated or related logistics services for the collection of documents from the file registries and mailrooms of the state capital Munich, their data protection-compliant transport to the service provider's scanning location, and the data protection-compliant return transport of parts of the documents after digitalisation to the respective departments and municipal enterprises. All transport containers must be provided by the contractor. Documents must be professionally emptied from archive rooms on a large scale, registered, and packed into suitable transport containers. During the contract period of four (4) years, it is planned to digitalise documents with an estimated volume of 76 million sheets. Additionally, reference is made to the contract documents (pursuant to § 29 para. 1 sentence 2 no. 3 VgV) for this tendering procedure.
