Description

The contract concerns the implementation of Workday within the HR, Finance and Procurement domains, from design to commissioning, combined with the guidance and realisation of the transition to a process-driven organisation. The contract will be executed by a combination of a business partner and a system integrator (whether or not within a single entity), with the business partner responsible for guiding the organisational transformation and the system integrator for the technical realisation of the platform, in mutual agreement and with integrated responsibility for the whole. The contract includes both the technical implementation of the platform and the necessary organisational transformation that goes with it, including the transition from the current ERP system PeopleSoft to the new platform. The contractor is expected to be responsible for the configuration, integration and commissioning of a working and integrated solution, and to take a leading role in guiding the organisation towards more standardised, integrated and process-driven operation. An essential part of the contract is the harmonisation and standardisation of processes across the domains involved (HR, Finance and Procurement), with maximum use of the platform's standard functionalities. In this context, it is expected that existing work methods will be critically evaluated and, where necessary, revised in function of best practices and future-proof operation. Furthermore, the contract includes the guidance of the transition from the current legacy ERP system PeopleSoft, Oracle Recruit and Learn, including the migration of relevant data, the phasing out of existing solutions and the safeguarding of the continuity of service provision during the transition period. The contractor must organise his project governance in such a way that structural and sustainable knowledge transfer to the employees of UZ Leuven is ensured. With the aim of enabling the organisation to manage, further develop and maintain the system independently after delivery. The contract requires an integrated approach whereby technology, process transformation and change management are inseparably connected, with the aim of a sustainable anchoring of the new operation within the organisation.
