Poland – Exhibition equipment – Modernizacja wystawy stałej w Domu Mikołaja Kopernika w zakresie naprawy i wymiany sprzętu multimedialnego wraz z oprogramowaniem – I etap

The subject of the order is the implementation of the modernisation of the permanent exhibition at the Nicolaus Copernicus House, including the repair and replacement of multimedia equipment along with software, according to the project which is Annex 1 to the SWZ. The Nicolaus Copernicus House is listed in the register of historical monuments. The modernisation includes:

1. the execution of preparatory, organisational and configurational works necessary for the implementation of the subject of the order,

2. the supply of factory-new devices, components, materials and accessories necessary for the implementation of the modernisation, in accordance with the requirements specified in the Subject Description,

3. the supply of electrical infrastructure elements for the multimedia system,

4. the dismantling of elements designated for replacement, and their securing, transport and disposal in accordance with the OPZ provisions and applicable regulations,

5. the assembly, installation and connection of new devices and equipment elements to the existing technical infrastructure within the scope of the order,

6. the installation, configuration and launch of operating systems, drivers, applications, multimedia content and all settings necessary for the proper functioning of the workstations,

7. the execution of programming and configurational works, as well as the preparation of workstations for autonomous operation within the technically possible scope for the given workstation,

8. the transfer of existing content to new equipment,

9. the execution of necessary tests, functional tests, calibration, adjustments and control activities confirming the correct operation of the modernised workstations,

10. the integration of the replaced workstations with the existing technical infrastructure and with the operating exhibition management system, if the scope of the given package and the technical environment provided by the Purchaser allow for the execution of such works or the creation of a new management system within the scope of the existing infrastructure,

11. the execution of backup copies of workstation configurations, the submission of post-construction documentation, user instructions and other documents required by the Contract and OPZ, if required due to the method of configuration of new content files chosen by the Contractor (generated based on the content provided by the Purchaser or taken over from the replaced devices) it will be necessary to submit copies of these files,

12. the execution of final commissioning, technical acceptance, training of the designated representatives of the Purchaser and the handover of the workstations for operation, the delivery of user instructions in Polish, warranty documents, certificates and other documents related to the subject of the order,

13. the execution of all necessary ancillary works and activities required for the proper implementation of the order, including transport, delivery, securing of devices, tidying up the work area and disposal of packaging and elements designated for removal, if this obligation arises from the OPZ.

The Contractor is obliged to deliver the ready-made equipment elements to the Nicolaus Copernicus House, ul. Mikołaja Kopernika 15/17, 87-100 Toruń and to carry out the assembly and commissioning there in a manner that interferes as little as possible with the active exhibition. The Nicolaus Copernicus House is open from Tuesday to Sunday during the following hours: until 30.09.2026 from 10:00 to 18:00, from 01.10.2026 from 10:00 to 16:00. On Mondays, work may be carried out between 8:30 and 16:15. There is a possibility of working before and after opening hours, provided that the Contractor reports such a need in advance. It is recommended that work be carried out on Mondays, and on other days before 10:00 and after opening hours. If the work does not require the entire exhibition to be shut down, or will not interfere with tourist traffic, it may be carried out during the hours accessible to visitors. After signing the contract, the Contractor will agree with the Purchaser on the implementation schedule, including the sequence of the replaced workstations, the deadlines for delivering equipment, assembling and configuring individual workstations, and the final configuration. The Purchaser expects a proposal for the schedule from the Contractor within 5 calendar days. The final schedule will be set at a meeting with representatives of the Purchaser within 7 calendar days. The method of submitting the proposal will be in accordance with the general rules of communication with the Contractor set out in the contract template.
