Description

By the present procurement procedure, EIT Urban Mobility, hereinafter being referred to as “EIT UM”, is aiming to identify an Event Venue, hereinafter being referred to as “The Venue” or “Venue, based in Brussels to host our Community Days 2027 events and provide catering, furniture, staff, branding and audiovisual support. This document, along with its annexes, constitutes a Request for Proposal (RFP) issued by EIT Urban Mobility for a potential procurement of services in the field of events. Community Days 2027 will comprise a series of strategic meetings and stakeholder engagement activities. Community Days: The 2027 edition of EIT Urban Mobility Community Days will take place in Brussels (Belgium) on 16th and 17th March 2027. EIT UM intends to gather all partners from different European locations under one roof and organize a 2-day event designed just for them. Exact timings are still to be decided. It will be held as an in-person by invitation-only event, and we are expecting to have approximately 250 participants. RAPTOR Summit: The RAPTOR Cities session is planned as a dedicated meeting within the wider Community Days event, bringing together representatives of cities and startups/SMEs participating in the RAPTOR programme. Integrating the Summit into Community Days allows RAPTOR participants to meet in person to exchange experiences, discuss pilot results and lessons learned, and explore opportunities for continuation and replication, while also participating in and benefiting from the broader Community Days programme. Supervisory Board Meeting: The Supervisory Board is the highest governing and oversight body of the EIT Urban Mobility legal entity. As part of its mandate, the Board is responsible for supervising the activities, performance, and strategic direction of the KIC Legal Entity, as well as overseeing the work of the Management Team. City Club Advisory Group Meeting: The City Club Advisory Group (CCAG) brings together representatives of Leading Cities within the EIT Urban Mobility community to provide strategic advice and a city perspective on EIT Urban Mobility’s activities, priorities and future direction. The group provides a structured forum for cities to exchange experiences and best practices, discuss common urban mobility challenges and emerging priorities, and contribute insights that can inform the development of EIT Urban Mobility’s activities and engagement with public authorities.
